Let’s be real — bookkeeping is one of those business topics you’d probably rather skip over. I get it. It’s not shiny or exciting like a new design tool or a fresh Notion setup. But… it’s so important.
Because when you understand what’s coming in and going out of your business each month, you’re not just tracking numbers — you’re taking charge of your business story.
I’m Lauren with The Smarter Creative, and I help creative small business owners work smarter, not harder. And today, I’m walking you through exactly how I reconcile my books each month for my three businesses (yep, three!).
Bookkeeping isn’t about spreadsheets and receipts — it’s about clarity. It tells you where your money is going, what’s working, and what needs adjusting.
And here’s the thing: you don’t need to be an accountant to do this. (Trust me, I’m not one either.) You just need a simple system that works for you.
If you’re paying your accountant to sort through your receipts at tax time, you’re likely spending more than you need to. Your accountant should focus on taxes — not categorizing your transactions.
That’s where having a good system comes in.
First things first — set yourself up with a free account on Wave Apps.
It’s a simple, intuitive accounting tool that lets you send invoices, track expenses, and categorize transactions. And best part? It’s free.
Once your account is ready, connect your business bank account and credit cards. Wave automatically imports your transactions so you can categorize each one — no manual data entry required.
Trust me, this one automation saves hours every month. (And we’re all about systems that make life easier around here.)
If you love this kind of smart system setup, check out my post on 5 easy automations to save your sanity. 🪄
Here’s what my monthly bank reconciliation looks like — simple, repeatable, and totally doable.
And just like that, your books are up to date. 👏
If you’re tech-friendly like me, this is where it gets fun.
I use Zapier to automatically log all my Stripe and PayPal transactions into Airtable. That way, I can see my income and processing fees at a glance — no math required.
Even if automation isn’t your thing yet, tools like Wave already take care of most of the heavy lifting. The key is to do your bookkeeping monthly so you’re never too far removed from what happened. (Trust me — “I’ll do it later” turns into a headache real quick.)

You don’t have to become a bookkeeper to manage your books. You just need a rhythm.
Set a recurring date — maybe the first Friday of each month — to sit down with your coffee, open Wave, and reconcile your accounts.
You’ll not only stay on top of your finances, but you’ll start to feel peace knowing exactly where your business stands.
If you can afford a bookkeeper — amazing. But if not, this system keeps you in control (and saves you from paying your accountant to dig through your receipts later).
Remember: everything is figure-out-able. You’ve got this. ✔️
Bookkeeping might never be your favorite part of business, but with a little structure and the right tools, it doesn’t have to be scary.
Keep it simple, keep it consistent, and trust that you’re learning as you go.
