Six Dubsado Email Tips I Wish I’d Known Sooner

Can we talk about Dubsado emails for a second?

If you’ve been inside Dubsado for any length of time, you probably think you know how the email side works. You’ve got canned emails set up, workflows humming along, and messages going out to clients… but there are a few sneaky features hiding in plain sight that can make emailing inside Dubsado way easier.

I’m Lauren from The Smarter Creative, and as a certified Dubsado specialist (aka a Dubsado Pro), I live inside Dubsado — both mine and my clients’. While setting up systems and workflows, I’ve discovered a handful of email tips that most people don’t realize are even possible.

Today I’m sharing six of my favorite Dubsado email tips I wish someone had shown me sooner.


1. You can use canned emails directly inside projects

Most people know you can create canned email templates inside Dubsado — but did you know you can use them outside of workflows?

Inside any client project, when you send a one-off email and click that little book icon, all of your canned emails appear right there. That means you can drop a polished, pre-written email directly into a project without building or editing a workflow.

I love this for:

  • One-off emails that don’t repeat often enough to justify a workflow step
  • Situations where a workflow mostly works, but you need a small tweak

For example, I have a client whose proposal workflow is standard — except sometimes they need to include a link to start a second project. Instead of rebuilding the workflow, they simply swap in a different canned email with the extra link. Zero extra brain power required.


2. You can email multiple recipients (with a big caveat)

In workflows, you’re limited to sending emails to one contact — which, yes, is a bummer (hopefully that changes someday).

But when you send a one-off email inside a project, you can:

  • Add multiple email addresses manually
  • Automatically CC an alternate contact if one exists on the client profile

This is incredibly helpful when proposals or important updates need multiple eyes on them.

⚠️ One important note: Dubsado isn’t built for multiple people approving things. You only want one person actually taking action on contracts, invoices, or forms — otherwise approvals can get messy fast.

Use this feature wisely, and it can be a huge time-saver.


3. You can resend an email without rewriting it

Ever had a client say, “Hey, I never got that email,” and you know you sent it?

Inside a client project’s email log, there’s a tiny but magical resend button.

When you click it:

  • Dubsado opens a fresh draft of the exact same email
  • You can resend it as-is or make edits before sending

It doesn’t automatically fire it off — it just saves you from rewriting or hunting down the original message. Simple, clean, and honestly one of my favorite little features.


4. You can schedule emails to send later (hello, boundaries)

Sometimes I’m working late — but that doesn’t mean I want to email clients late.

Dubsado lets you delay or schedule a one-off email so it sends later. You can:

  • Delay it until the next morning
  • Choose a custom date and time

When you do this, Dubsado creates a mini workflow that exists solely to send that email. If you need a very specific send time, you can open that workflow and adjust the exact date and time.

Most of the time, I just choose “tomorrow morning,” but it’s nice knowing the flexibility is there.

Boundaries and efficiency? Yes please.


5. You can send multiple forms and schedulers in one email

In workflows, you can only send one form or scheduler at a time — which is limiting.

But with a one-off email, as long as the forms or schedulers are already attached to the project, you can:

  • Open a blank or existing email
  • Insert links to multiple forms, schedulers, invoices, or portals

This is incredibly helpful for follow-ups. If a client still needs to complete two forms, you can link both right there instead of sending multiple emails.

Unfortunately, this only works manually (not inside workflows), but it’s a huge lifesaver when you need it.


6. Your email signature is way more powerful than you think

Dubsado’s email signature settings live inside your canned emails — and they’re highly customizable.

A few best practices I recommend:

  • Keep your sign-off wording flexible (don’t hard-code “Best,” or “Thanks,” unless you always use it)
  • Use the email signature smart field inside canned emails
  • Let the signature handle branding, not tone

If you work on a team, keep the signature generic:

  • Company logo
  • Website
  • Social links

That way, whoever sends the email can sign off personally without confusion.

I personally use a branded email signature built as a table in Google Docs, then copy and paste it directly into Dubsado. I also use the same signature in Gmail and Outlook so my branding stays consistent everywhere.

Final thoughts

These little email features might seem small, but together they make working inside Dubsado smoother, faster, and way less frustrating.
