
Here’s something I notice about creative entrepreneurs: we spend so much energy on our brand — the colors, the fonts, the visual identity — and then we hand clients a completely generic login page that has nothing to do with any of that.
It’s like building this beautiful, intentional brand experience and then pointing clients to something that could belong to literally any business.
Your client portal doesn’t have to be that way. I’m Lauren with The Smarter Creative, and I just updated my Dubsado client portal tutorial because 3.0 changed some things worth knowing about. But more importantly, I want to show you how to make your portal actually feel like part of your business.
What Even Is a Client Portal?
Simple: it’s a designated login page where your clients can access everything you’ve sent them through Dubsado. Invoices, forms, proposals, contracts, emails — all in one organized space.
You don’t have to make them use it (though they will, once they see it). But when it’s set up well, it becomes a resource hub they actually check because everything they need is right there.
Think about the alternative. Your client needs a copy of their contract. They reach out. You dig through your inbox, find it, send it again. With a portal? They just log in and grab it.
And here’s what really makes the difference: when your portal is fully branded to you, your client doesn’t even realize they’re inside a platform. They think it’s something custom-built just for your business. That’s the whole magic.
The Portal Basics in Dubsado 3.0
In your Dubsado settings, you’ll find the portal settings. Here’s what actually matters:
Your banner and logo. This is where your branding lives. I personally turn off the default welcome message and logo overlay because I want my banner image to do all the talking. But you can use all three together if that fits your brand.
Colors matter. The category headers use your brand color, so pick a darker shade. The portal buttons are always white text on your brand color — high contrast is key.
Your portal tabs. By default there’s a “Projects” tab. You can rename it. Call it Bookings, Jobs, whatever makes sense for your business.
The Real Magic: White Labeling
Here’s where most people miss the opportunity to fully own their portal.
In Dubsado 3.0, there’s URL customization. I created a custom domain so my portal is “portal.thesmartercreative.com” instead of anything that says Dubsado. My clients log in and see my branding all the way — my favicon, my logo, my colors. When I share a link, they see a custom preview image.
They have no idea they’re inside Dubsado. They think it’s something I built specifically for my business.
A quick note on banners: you have a full-width desktop banner and a mobile banner. As screens shrink, your desktop banner gets cut off on the right side. If you’re creating custom per-client banners (possible in 3.0), be thoughtful about element placement. Things on the far right will disappear on mobile.
Honestly? I don’t think custom per-client banners are worth it. One strong, branded main portal that represents your entire business works for all your clients.
How to Share the Portal With Clients
Two options: a direct link from within the client’s project, or a master portal link.
Direct link = no password needed. Send a custom link specific to their project, and they just need their email to log in. Smoothest experience.
Master link = password required. You’d have to manually set a password for each client. Extra steps, and honestly… nobody was using it when I had it set up that way. I was doing extra work for zero return.
Now I always use the direct link from the project. One less step for me, better experience for them.
The Workflow Hack That Actually Works
This is my favorite part: you can automate all of this.
In your Dubsado workflows, add an action that activates the portal automatically. Then, in that same email, use smart fields to grab their custom portal link and drop it right into the message.
So your client completes booking, and they immediately get an email: “Hey, your client portal is set up. Here’s your link.”
They don’t wait for you to manually remember. The system does it. 🪄
Make It a Real Resource Hub
Don’t just store documents. Think bigger.
I have a W9 form in my portal, additional resources, next-step documents — anything clients might want to reference while working with me. You can add forms that just live there waiting for them, without sending separate emails for each one.
The portal becomes a living, breathing resource hub instead of just a filing cabinet.
