One of my favorite “hidden” Dubsado features 👀

There’s a little dropdown inside Dubsado that I don’t think gets enough love.

And once you see it, you’ll probably have one of those
“wait… why haven’t I been using this?” moments.

I’m talking about the ability to trigger different workflows directly from a single lead capture form.

If you offer more than one service (branding, websites, retainers, team inquiries, collaborations, etc.), this feature can quietly transform how your backend feels… for both you and your clients.

Instead of sending everyone the same generic follow-up, you can:

  • Respond more intentionally
  • Start the right automation immediately
  • And stop manually sorting leads in your head

Let me walk you through how this works, why it’s so helpful, and when you might not need it (because simple is still sacred). ✨


Why you’d even want multiple workflows from one form

This setup shines when you have distinct ways of working.

For example:

  • Branding vs website design
  • Website redesign vs website from scratch
  • Client inquiries vs “I want to join your team”
  • Different types of people reaching out to the same business

Instead of asking “What service are you interested in?” and then doing all the thinking after they submit the form, you let Dubsado handle it for you.

Each option can trigger:

  • A different email
  • A different scheduler
  • A different follow-up timeline
  • A different internal to-do for you

Same form.
Different experience.

Step one: build the workflows first (this part matters)

Before touching your lead capture form, you’ll want to create the workflows you plan to trigger.

In my example, I set up:

  • A Branding Lead workflow
  • A Website Lead workflow

Each workflow included:

  • A tag specific to that service
  • An email sending a discovery call scheduler
  • A follow-up email a few days later (because the magic is always in the follow-up ✨)
  • A project status change when the call is booked
  • A to-do created for me so nothing slips through the cracks
  • A pause in the workflow once the call is scheduled (so awkward “just checking in” emails don’t go out)

Yes, it takes a bit of setup on the front end.

But once it’s done… it’s done.
And you’re giving your leads a much more personalized experience without extra effort.

Step two: connect the workflows to your lead capture

Now comes the fun part.

Inside your lead capture form, you can add a workflow dropdown field.

Here’s how it works:

  • The form asks something like “What service are you interested in?”
  • Each option (branding, website, etc.) is assigned a specific workflow
  • When someone submits the form, that workflow automatically starts

A few important settings to double-check:

  • Turn off the default workflow (you want the dropdown to control this)
  • Set your project status to something like “Lead Captured”
  • Use a neutral project title (like their name) if you don’t know the service yet

Once that’s saved, you can:

  • Embed the form on your website
  • Or share the direct link

Either way, the automation is working quietly in the background. 🪄


What happens after the lead comes in

When someone submits the form:

  • Their project is tagged by service
  • The correct workflow starts immediately
  • The right email goes out
  • Follow-ups are scheduled automatically
  • Your project statuses stay organized

And if they do book the call?

  • The project status updates
  • The workflow pauses
  • Your internal to-do is waiting for you inside Dubsado

No guessing.

Not every business needs this level of segmentation.

That’s great.
