That quote is from Atomic Habits by James Clear — and it’s one I come back to over and over again.
Because when business feels chaotic…
When everything feels urgent…
When you’re constantly putting out fires…
It’s rarely because you’re not trying hard enough.
More often than not, it’s because the systems underneath your work aren’t supporting you anymore.
And I saw this play out so clearly recently with a client.
I had a past client reach out after their business had grown (which is amazing ✨).
They’d hired a team. They were doing well.
But the team was overwhelmed.
Deadlines were slipping.
Everyone felt reactive.
And the owner couldn’t understand why — because her heart was to build a grace-filled, sustainable company where people weren’t stressed all the time.
I was asked to speak to the team about personal productivity.
But before doing that, I paused.
Instead of assuming people just needed better time management, I hopped on calls with a few team members and asked a simple question:
“What makes you feel frustrated in your day-to-day work?”
The answers weren’t about motivation or effort.
They were about:
That’s not a productivity issue.
That’s a systems issue.
One of the biggest myths in business is that systems make you rigid or robotic.
In reality?
Good systems create freedom.
They answer questions like:
Not so you can work harder —
but so your brain doesn’t have to re-decide everything every single time.
That’s how overwhelm sneaks in.
If you work with clients, ask yourself:
For solopreneurs and small teams, a tool like Dubsado can work beautifully for this (here’s a deeper breakdown of what Dubsado actually is).
For larger teams, you might need something more robust and collaborative — like Keap or Zoho.
There’s no one-size-fits-all here.
The “best” system is the one that fits how your business actually operates.
Even if you don’t think of your work as project-based… it probably is.
Projects give structure to:
They help answer:
“When this happens, this is what we do.”
That clarity alone reduces so much mental load — especially for teams.
Some of my most helpful systems are honestly pretty boring.
But they save me so much energy.
I use automations to:
Yes, I could do those things manually.
But they always seem to come up at the worst possible time — when I’m already stretched.
And if you’re curious what that can look like in practice, I break it down more in

Small automations. Big relief.
If you’re in the thick of it, ask yourself:
“Do I actually have the right systems in place for how my business works today?”
Not how it worked two years ago.
Not how you wish it worked.
Today.
Systems can be software…
or written processes…
or even pen and paper — if that’s how your brain works.
What matters is that they’re reliable and repeatable.
If you’re overwhelmed and:
I’d love to help.
I’m a certified Dubsado specialist, but more than that — I help business owners choose systems that actually fit their work and their capacity.

If you’re overwhelmed right now and can’t see past it — I see you.
There is a way to run your business without constant stress.
And it starts by letting systems support you instead of carrying everything in your head.
I’m cheering for you. Always.
With systems and a touch of magic on your side,
