“You do not rise to the level of your goals. You fall to the level of your systems.”

That quote is from Atomic Habits by James Clear — and it’s one I come back to over and over again.

Because when business feels chaotic…
When everything feels urgent…
When you’re constantly putting out fires…

It’s rarely because you’re not trying hard enough.

More often than not, it’s because the systems underneath your work aren’t supporting you anymore.

And I saw this play out so clearly recently with a client.


When “personal productivity” isn’t actually the problem

I had a past client reach out after their business had grown (which is amazing ✨).
They’d hired a team. They were doing well.

But the team was overwhelmed.

Deadlines were slipping.
Everyone felt reactive.
And the owner couldn’t understand why — because her heart was to build a grace-filled, sustainable company where people weren’t stressed all the time.

I was asked to speak to the team about personal productivity.

But before doing that, I paused.

Instead of assuming people just needed better time management, I hopped on calls with a few team members and asked a simple question:

“What makes you feel frustrated in your day-to-day work?”

The answers weren’t about motivation or effort.

They were about:

  • not knowing what came next
  • doing things manually that felt repetitive
  • unclear handoffs
  • too many places to check for information

That’s not a productivity issue.
That’s a systems issue.


Systems exist to give your brain a break

One of the biggest myths in business is that systems make you rigid or robotic.

In reality?
Good systems create freedom.

They answer questions like:

  • “When this happens, what do we do next?”
  • “Where does this information live?”
  • “How many times do we follow up?”
  • “When does a lead become cold?”

Not so you can work harder —
but so your brain doesn’t have to re-decide everything every single time.

That’s how overwhelm sneaks in.


Start with client management (it matters more than you think)

If you work with clients, ask yourself:

  • Where do inquiries live?
  • Where are contracts and invoices?
  • Where does communication get tracked?

They help answer:
“When this happens, this is what we do.”

That clarity alone reduces so much mental load — especially for teams.


My favorite kind of system: the ones that run quietly in the background 🪄

Some of my most helpful systems are honestly pretty boring.

But they save me so much energy.

I use automations to:

  • create client folders automatically
  • spin up project tracking pages
  • label emails
  • store client info in multiple places (just in case)

Yes, I could do those things manually.

But they always seem to come up at the worst possible time — when I’m already stretched.

Today.
