If you’ve ever felt like you’re using Dubsado… but not really getting the magic everyone talks about, you’re not alone.

I see this all the time with creative small business owners. You’ve set things up, you’re doing your best, but somehow things still feel clunky, manual, or harder than they need to be.

And as a certified Dubsado specialist who builds and supports systems for creatives every day? There are a few patterns I notice over and over again 👀

None of these are “you messed everything up” problems.
They’re just small misses that quietly create more work for you behind the scenes.

Let’s walk through four of the most common Dubsado mistakes I see — and how to fix them in a way that actually makes your business feel lighter.


1. Creating new projects when you only need a new invoice

This one is so common.

If your scope of work changes, you bill monthly, or you just need to send an additional invoice — you do not need to create a whole new project.

Inside each project, there’s an Invoices tab.
When you click into it, you’ll see:

  • Invoice List
  • Recurring Invoices
  • (and a few other options)

If you click Invoice List, you can:

  • Add a brand-new invoice
  • Keep it tied to the same project
  • Set it as the primary invoice if needed

And if you’re charging the same amount every month?
Please don’t manually recreate invoices.

Recurring invoices exist for a reason 🫶
They save time, reduce errors, and keep your billing consistent.

2. Sending scheduler links from templates instead of projects

Yes — the scheduler link from your template works.
But when you send it that way, the appointment isn’t tied to the client’s project.

Which means:

  • It won’t show up in their client portal
  • You won’t see full client details on your calendar
  • Things feel disconnected

Instead, always send scheduling links from inside the project, using:
Appointments → Send Appointment → Use Existing Scheduler Template

That way:
✔️ The appointment is tied to the project
✔️ The client sees it in their portal
✔️ You get all the context in one place

If you are using scheduler links for consults or discovery calls, just make sure there’s a lead capture form attached so people aren’t floating into no-man’s land.


3. Not fully using Dubsado’s 3-in-1 proposal setup

This one is a missed opportunity for both you and your clients.

Inside Dubsado, proposals can include:

  • Package selection
  • Contract signing
  • Invoice payment

All in one link

But what I often see instead is:
Proposal sent → wait
Contract sent → wait
Invoice sent → wait

That’s a lot of back and forth when it could be:
“Here’s one link. Pick your package, sign, and pay.”

Cleaner. Faster. Easier for everyone.

4. Not using workflows (or barely using them at all)

This one surprises me every time.

So many people either:

  • Don’t use workflows at all
  • Or use them so minimally they’re not really helping

Workflows are what allow Dubsado to:

  • Follow up automatically
  • Move projects through statuses
  • Keep your funnel organized

Yes, they take time to set up.
And yes, they’re a little manual at first.

But once they’re built?
They run on autopilot — for you and your clients.

If workflows feel overwhelming, start small:

  • One lead follow-up
  • One reminder email

You don’t have to automate everything today. Just start where you are.
